Rental Information - Things You Should Know for 2008

Office Hours

Our office is open 9:00 AM to 6:00 PM Monday through Saturday.

Rates, Taxes & Fees

  • Published rates are weekly rates and reflect payment by cash or check. A 3% convenience fee will be added for any use of a credit card (Discover/Visa/MC). All rental rates are subject to change without notice.
  • Published rates do not include state sales & accommodation taxes totaling 8%, nor do they include the Town of Hilton Head’s beach preservation fee, local accommodation tax, and damage protection plan fees totaling 6.5%. Taxes and fees are subject to change without notice.
  • The Accidental Damage Protection Plan covers reported accidental damage to your rental property up to a maximum of $1,000.00 for villas and $3,000.00 for homes, and is refundable only in the case where the reservation is cancelled prior to the entering the property.
  • A Processing fee of $55.00 will be added to each villa reservation & $75.00 for each home reservation.
  • A fee of $35.00 will be charged for all returned checks. Returned check fees not paid by your arrival date will be charged to your credit card. If your check is returned after your departure, Hilton Head Rentals & Golf will charge your credit card for the balance due, plus the $35.00 check fee and the 3% convenience fee.
  • A non-refundable pet fee of $75.00 for villas and $200.00 for homes is required to make a reservation for a designated “pet friendly” home or villa. No more than two dogs are allowed in all “pet friendly” homes and villas (no cats, birds, etc.). If your dog weighs more than 50 lbs, please let us know. Not all homes and villas accept large dogs. Your credit card will be charged accordingly if pet damage or clean up exceed $75.00 for villas and $200.00 for homes.

Travel Insurance

  • Travel insurance is available to all guests up to the final payment. However, coverage may be limited when insurance is purchased outside of the guidelines listed in the Description of Coverage included with your rental agreement. Once insurance is accepted, it is non-refundable.
  • Multiplying the rental & processing fees, and their taxes by 7%, will calculate the travel insurance cost. Contact Insure America at 1-888-409-7749 and provide product number:008085 P2-P3 10/07 should you have any questions about coverage.

Schedule of Benefits per Booking

  • Trip Cost: Trip Cancellation & Interruption (Maximum limit $100,000)
  • Trip Delay: $400 ($100 maximum per day)
  • Baggage Delay: $400 ($100 maximum per day)
  • Medical Expense: $25,000
  • Emergency Medical Transportation: $500,000
  • Travel Medical Assistance: Included
  • Worldwide Travel Assistance: Included

The Insurer will pay this benefit up to the maximum limit shown on the schedule of benefits if a trip is canceled or interrupted due to any of the following unforeseen reason:

  • Sickness, injury, or death of an insured, immediate family member, traveling companion, or business partner.
  • Inclement weather conditions causing delay or cancellation of travel.
  • Being involved in or delayed due to an automobile accident en route to departure.
  • Strike, resulting in the complete cessation of travel services at the point of departure or destination.
  • Termination of employment or layoff affecting the Insured or his/her traveling companion.
  • Military duty (if in 30 days of departure, the insured has his/her leave revoked or the Insured is reassigned).
  • Named hurricane causing cancellation of travel to the Insured’s destination that is inaccessible or uninhabitable. The company will only pay benefits for losses occurring within 30 calendar days after the named hurricane makes the Insured’s destination uninhabitable or inaccessible.
    • Note: Benefits are NOT payable if a hurricane is named on or before the effective date of the Insured’s Trip cancellation coverage.
  • The Insurer will pay this benefit up to the maximum limit shown on the schedule of benefits for trips that have been interrupted or delayed, due to the reasons shown at the unused prepaid payments or deposits for the Insured’s trip if the Insured’s trip is interrupted.

Medical Expense Benefit:


  • The Insurer will pay this benefit, up to the Maximum Limit shown on the Schedule of Benefits. The Insurer will pay for medical expenses incurred by the Insured within one year from the date of Injury or Sickness provided initial treatment was received during the Trip. The Injury must occur or Sickness must begin while the Insured is covered by the policy.
  • Payment of loss: The Insured must provide the Insurer with: (a.) all medical bills and reports for medical expenses claimed; and (b.) a signed patient authorization to release medical information to the Insurer.

Deposits and Payments

  • Once your guaranteed reservation has been made, a rental agreement will be sent to you. A deposit of 40% of the total cost is required and must be received within 14 days from the date of booking.
  • Written confirmation of payment will be sent to you each time you make a payment toward your balance. Your balance is due 30 days prior to arrival in order to have keys sent to you by mail although not guaranteed.
  • When making a reservation less than 30 days prior to arrival, arrangements must be made to pay the entire balance prior to arrival in order to check-in after 6:00 PM or on a Sunday. Keys will not be placed in the lock box unless your account balance is zero.
  • Last minute rentals: If your balance is not paid at the time of check-in, your credit card will be charged the following business day. We do not accept personal checks within two weeks prior to arrival unless you have permission from our office. Checks may not be post-dated!
  • All charges are U.S. funds; international checks must be noted U.S. funds or they will not be accepted.
  • In lieu of a security deposit, a credit card is required to make a guaranteed reservation. No exceptions!


Cancellations and Refunds

  • All cancellations are subject to an $85.00 administrative fee.
  • A 24-hour courtesy hold is available without obligation. However, once you have provided your credit card information and are given a confirmation number, your reservation is guaranteed and subject to all cancellation fees.
  • For a refund, a cancellation must be submitted in writing and received 60 days prior to arrival for villas and 90 days for homes (less an $85.00 cancellation fee).
  • Cancellation within the 60 or 90-day period will result in the forfeiture of your 40% deposit. Should the owner of any property elect to remove their property from our rental program, the guest shall not hold HHRG liable. In such an instance, the guest will be relocated to comparable accommodations determined by HHRG. If comparable accommodations are not available, the guest will receive a full refund.
  • Hilton Head Rentals & Golf is not responsible for events beyond our control, e.g. inclement weather, traffic delays, maintenance issues.
  • There will be no refunds for early departures or no-shows.
  • Allow 10 business days to process your refund. Guests will not receive a refund until all payments posted to their account have cleared the bank and are not in dispute.

Web Site Reservations

  • Your credit card is required to make a web-site reservation. Once your reservation has been made, a vacation consultant will contact you to confirm your information and go over any questions you may have. Web site reservations are subject to all terms, cancellation periods and policies.

Check-in & Check-out

  • Check-in is 4:00 PM or later. Please do not enter the home or villa before this time unless you have permission from our office. Additional rental fees will be charged to your credit card if you are found to be in violation of this policy.
  • Occasionally during peak seasons, your home or villa may not be ready until 6:00 PM.
  • Check-out is 10:00 AM or earlier. No exceptions!
  • All homes and villas are cleaned and inspected upon your departure and is included in your rental fee.
  • We are not responsible for items left behind. There is a $30.00 minimum charge, plus postage, for packaging your items and returning them to you by mail.

Home & Villa Equipment

  • All homes and villas are privately owned and equipped for basic vacation needs. Bedding and bath towels are provided for the maximum number of possible guests stated for each home and villa. Kitchen utensils and starter supply of soap and paper products are made available. You will need to bring or purchase additional supplies.
  • Each home or villa is guaranteed to contain at least one TV and one VCR. Hairdryers are not provided.
  • Beach equipment and beach towels are not provided. Do not use home or villa linens as beach blankets.
  • Your credit card will be charged for additional cleaning if the home or villa, linens and/or carpet are found to be excessively dirty.
  • A lockout fee of $35.00 is due when there is an after hours lockout from the home or villa.
  • Telephones are provided. Local calls are free. Use a calling card or dial collect to place long distance calls.
  • Maintenance problems in the home or villa will be handled in a timely and professional manner. The rental rate will not be adjusted due to any malfunction of equipment, which includes TV’s, VCR’s, DVD’s, air conditioning units, hot water tanks, elevators, stoves, refrigerators, door locks, hot tubs/spas, pools, etc.
  • Hilton Head Rentals & Golf is not responsible for resort amenities such as schedules, pool & spa closures, etc.
  • At the time of publication, all home and villa amenities are accurate to the best of our knowledge.

Lockouts

  • Should you find yourself locked out during business hours, a staff member will assist you at no charge. After business hours, a staff member will assist you however, there is a $35.00 lockout fee.

Occupancy

  • Take note of the maximum number of guests allowed in the homes and villas before making your reservation. This policy is strictly enforced and will result in eviction.
  • Weddings, receptions, and parties of any kind are not allowed without a written request and approval from Hilton Head Rentals & Golf.
  • Homes and villas are not available for rent to vacationing students or guests under the age of 25. This policy is strictly enforced and will result in eviction.

Plantation Access & Parking

  • Car passes are required and will be issued for all vehicles entering a plantation area and condominium complex (up to the maximum allowed).
  • Trailers, motor homes, motorcycles and/or recreational vehicles are prohibited in the plantations and in most resorts on Hilton Head Island.
  • Some private homes do not have parking access in the garage or on the street. Certain restrictions may apply, please check with our office.

Pet Policy - (Dogs Only)

  • No pets allowed except in designated “pet friendly” homes and villas.
  • No cats, bird, etc
  • Condos- One dog 30 lbs and under.
  • Townhouses- No more than 2 dogs 30 lbs apiece and under.
  • Homes- No more than 2 dogs under 30 lbs apiece or one dog 70 lbs or less.
  • No pit bulls, rottweilers, dobermans, german shepards or bull terriers, for insurance purposes.

No Smoking

  • All homes and villas are Non-smoking! No exceptions!

Indemnification

  • Neither HHRG nor the owner will be held liable for any accident or injury that may occur to you or your party during your occupancy in or on the property.
